Email alert options

If this email alert is set, an email is sent to the reviewer every time there is any activity on the proof (e.g. a new comment, reply or decision has been made).

This is a great option for the person who is managing the proofing process, as it lets them keep a close eye on the everything that's going on, as and when it happens."

Please note: You won't receive an email alert about your own activity (i.e. comment, reply, decision made) on a proof.
If this email alert is set, an email is sent to the reviewer only if someone replies explicitly to their comment (this excludes their own replies on their own comments). This means that if somebody else on the proof makes a new comment, the reviewer would not get notified.

We usually recommend this setting for your clients on the proof, as that way they wouldn't be notified of any other (e.g. internal comments) on the proof and would only be notified of replies to their own comments.

Please note: Although reviewers with this email alert setting will not be notified of other new comments, they will still be able to see all comments on the proof if they open the Proof Viewer.
Email is sent to the reviewer only when someone makes a decision.

This email alert can be useful for the person who is managing the approval process, e.g. Project Manager, as it allows them monitor the progress on the proof and see who has and has not yet made their decision.

Please note: You won't be notified on your own decision unless you select an email confirmation option upon submitting your decision.
If this email alert is set, an email is sent when the final decision has been made on the proof, i.e, when the last approver on the proof has made their decision.

This alert is often used by the designer, as it means that they don't need to take part in the actual review discussion, but will be notified only when the final decision is made. This way they can action any necessary changes at once.

It may also be a useful alert setting for a Department Head who only needs to be notified when the review process is finished.
If this email alert is set, an email is sent to the reviewer every hour with a summary of all the comments, replies and decisions that have occurred in the last hour.

The email will only be sent IF there has been activity in the last hour, if there has been no activity then no email will be sent.

This alert is a good way of seeing an overview of the project and could be a useful alert setting for senior reviewer on the proof who perhaps does not need to be notified immediately of all activity on the proof but who does want an over view of the project.

Please note: a notification email won't be sent to you if in the last hour there is only your own activity on the proof.
If this email alert is set, an email is sent every day with all comments, replies and decisions listed ONLY IF there has been activity in the last day.

This alert is a good way of seeing a summary of the project overall, without being bogged down with lots of updates throughout the day.

This could be a useful alert setting for e.g. Department Heads who want to monitor the overall progress of the project.

Please note: Notification email won't be sent to you if in the last 24 hours there is only your own activity on the proof.
If this email alert is set, no email alerts are sent. This is a great setting for a person who is added to a proof just for reference and doesn't need to be notified of any changes.

Please note: The system default is Daily summary (also seen as Not Set). If you or your reviewers do not make any other changes, all your proofs will have this setting.
