The Desktop Uploader

The Desktop Uploader is a standalone Adobe AIR application that lets you create multiple proofs and share files directly from your desktop.

This is a perfect solution for uploading larger files, as you can continue working while the upload is processing in the background.

The Desktop Uploader can be used to upload files up to 1.3GB. You can drag and drop single files, multiple files and whole folders.

You can also use the Desktop Uploader to submit proofs via the Dropzone - you don't need to have a ProofHQ account to use the Desktop Uploader for this.
  • You must have Adobe AIR installed in order to use Desktop Uploader. If you do not have Adobe AIR set up click here.
  • Click the Download button below to install the Desktop Uploader

  • You may see a download confirmation box like the one shown below (depending on the browser you are using)



  • Click on Save File and select the destination folder for the installation file (this step is optional and depends on the browser settings)
  • When the installation file is downloaded, double click on it and follow the installation instructions. Once the installation process is completed, the installer will conveniently place a shortcut on your desktop
  • To start the Desktop Uploader simply double click the icon that was saved on your desktop
Please note: If you are using IE8, your browser will download the Desktop Uploader as a .zip file instead of a .air file. To avoid this, we would suggest using a different browser to download the Desktop Uploader.

If you experience any issues when installing /updating the Desktop Uploder, please refer to the last section of this article - Error while installing/updating the Desktop Uploader version.


To upload and share proofs using the Desktop Uploader, open the Desktop Uploader and follow the steps below:
  • Sign in using your ProofHQ username and password (1)
  • Tick the Remember me box to avoid being timed out (after 30 minutes of inactivity)(2)



  • Select New proof from the main menu (3)



  • Browse your computer for files and folders you want to upload (4)
  • You can also simply drag and drop files and whole folders straight from your desktop (5)
  • Add reviewers to the proofs by typing their email address(es) in the Share with section (6)
  • Set the deadline time and date (if required)(7)
  • Select the tick box to Notify people by email (if you want your reviewers to be notified by email when the proofs are ready)(8)
  • Click the Add a custom message button (if you want to include a custom message)



  • If you would like to make someone else the owner of those proof(s), select that person in the Proof owner section (10)
  • Select the folder you want to upload the proofs to (11)
  • You can create a new folder for your proof(s) if needed (12)
  • You can add tags to the proofs (13)


  • If you change your mind and decide to upload files instead of proofs or you want to submit proofs to the Dropzone, just click on the relevant tab at the top of the page
  • When you are ready to conclude your submission, click Upload


  • You will then see the progress of the upload of each file as well as the overall progress




  • When the upload is finished you will see the below message on the screen - the proofs will then be processed and if you chose to notify people by email the reviewers will be emailed when the proofs are ready for review

To upload and share files using the Desktop Uploader, open the Desktop Uploader and follow the steps below:
  • Login using your ProofHQ username and password (1)

  • Select Upload file from the main menu (3)


  • Browse your computer for files and folders you want to upload (4)
  • You can also simply drag and drop files and whole folders straight from your desktop (5)
  • Add the people you want to share the files with by typing their email address(es) in the Share with section (6)
  • Click the Add a custom message button (if you want to include a custom message) (7)
  • Select the tick box to Notify people by email (if you want your recipients to be notified by email) (8)
  • If you would like to make someone else the Owner of those file(s), select that person in the File owner section (9)
  • Select the folder that you want to upload the files to or create a new destination folder for your files (10)
  • You can add tags to your files (11)


  • Click on the Upload button (12)


  • You will see a progress bar showing both the progress of each file as well as overall upload progress


  • When the upload is finished you will see the below message 

You can submit proofs to the Dropzone using the Desktop Uploader, which is particularly useful when you are submitting large proofs.

This functionality is available for everyone, even if you don't have a ProofHQ account - all you need is the Desktop Uploader installed on your computer.

Please see the Dropzone for more information.

Please note that only proofs can be submitted to the Dropzone (you cannot share files via the Dropzone).
From the Desktop Uploader you can access the Dashboard, Personal settings or the Help Center by clicking on the Go To link (1) at the top of the page



    • When you click the Dashboard button (2) your Dashboard will open in your default browser.
    • Clicking the Profile button (3) will take you to the Personal settings section of your account.
    • The Help button (4) will open the main page of our Help Center in your browser.
Sometimes it happens that when you use the above download link to update your Desktop Uploader to the newest version, it downloads and starts to install but then gives you this error: "Sorry, an error has occurred. This application cannot be installed because this installer has been misconfigured. Please contact the application author for assistance."
    This error only occurs if you have installed Desktop Uploader before and it is an older version that has a signature from an earlier certificate that is more than six months out of date so it can't update from this old certificate. This is a limitation of Adobe Air and the only way to get around this is to uninstall Desktop Uploader completely and then reinstall.

Adobe Air re-installation

If you encounter issues when you attempt to install Adobe AIR applications on your system, remove and reinstall Adobe AIR. For example, if the installation stalls at the "Application Install" dialog box, or if you see an "Installation Error" message, remove and reinstall Adobe AIR. Note: Also remove any prerelease or beta version of Adobe AIR before installing its latest version.

To remove Adobe AIR, do the following:

  • Select Start
  • Settings  
  • Control Panel
  • Open the Add or Remove Programs panel. 
  • Select Adobe AIR to remove the runtime 
  • Click the Change/Remove button
Please note: Do not use any other external tool like Microsoft's Installer Cleanup Utility to remove Adobe AIR. This utility can damage other installations on the computer.
