Managing feedback across multiple versions or revisions of a piece of work is a huge challenge. ProofHQ simplifies this process by letting you create and compare multiple versions of a proof.
Permissions are specific to a version, so you can give a person permission to see one version, but not another. Conversely, if you share a later version with a person, they will not be able to see earlier versions unless you go back and add them to those versions as well.
New Version
ProofHQ lets you create new versions in several ways:
New version in proof
- Go to the proof page
- Click the current version number at the top of the page, to the right of the proof name
- Version thumbnails will appear for all versions, followed by a New Version link
- Click New Version
- The New Version page will appear

To create a new version from a proof's
actions menu on a list page:
- Click the arrow to the right of the relevant proof to open the actions menu
- Select New version
- The New Version page will appear

New Version Page
- The new version page will contain all of the people from the old version, including their roles
- You can edit the roles of existing people
- You can add new people to the proof
- You can delete existing people individually or Delete All
If the new version is being created in a
folder and that folder has been shared with people:
- These people WILL appear automatically in the Share section of the New Version Page
- These people will NOT be able to be deleted (even using Delete All) as these people will have Read Only rights to all items, including new items, in the folder (See Sharing folders)
- You WILL be able to amend the roles of these people
If the previous version of the proof has been shared with people:
- These people WILL appear automatically in the Share section
- These people WILL be able to be deleted (individually or by using Delete All)
- You WILL be able to amend the role of these people

Viewing Versions
You can manage versions from the proof page. You will notice that each proof shows the version number to the right of the proof name at the top of the page.
Versions in the proof
- Click the current version number at the top of the proof page, to the right of the proof name
- Version thumbnails will appear for the current version and any earlier versions, followed by a New Version link
Versions Section
Functions available in the versions section are:
- Open another version
- Compare versions
- Create new version
View Another Version
To open another version, just click the version thumbnail. That version will open in the proof page.
Compare Versions
To compare two versions, click the Compare Versions button on the proof page. If there are more than two versions, select the two you want to compare. (See Compare Versions.)
Create New Version
To create a new version click the New Version button.
NB: This button will not be available if you have an Observer Profile.
Version on the Proof Details Page
You can manage some versions functions from the details page.
View Another Version
You will notice that each proof version shows in the Details section.
To open the details page for another version, just click on the version in the list. The other version will open in the details page.
Create New Version
To create a new version on the details page click the New Version button.
Edit a Version
To edit a version on the details page click the Edit button on the parent proof field and select the proof that you want to be the parent (or older version) of the current proof.
Version "sets"
You can upload as many versions of a proof as you want, there is no limit. So, if you need to go through many revisions with a client to get final approval, all the versions created can be viewed in ProofHQ.
For
static documents and file types and
SWF files, each set of five versions will count as one proof against your monthly limit. If you upload five versions of a design, that counts as one proof. If you upload six versions of a design, that counts as two proofs, and eleven versions would count as three proofs.
For audio visual files each new version counts as a new proof.
