Quick Tips

How to upgrade your ProofHQ account

  • You can upgrade at any time!
  • Simply go to Billing and click on the Upgrade/downgrade button at the top right of the page.
  • Similarly, you can downgrade at any time in the same way.
 

 


How to change your password

  • You can change your password by going to the Quick Start box on the Dashboard and choosing Change Your Password.
  • You can also change your password by going to Personal Settings and clicking the Change Password button at the top right of the page.

  


How to increase your password security

  • Go to Account Settings and choose the Settings Tab.
  • Scroll down the page to the Advanced Password Settings section.
  • Here you will be able to set the minimum password length, character mix, character repetition, password ageing, password repetition and account lock out.
  

  

How to re-invite somebody if the confirmation email is deleted in error

If somebody you have added as a user in your account deleted their confirmation email in error, then you can simply re-invite them! To do this:
  • Go to Account Settings
  • Click on the Users Tab
  • Select the tick box to the left of the relevant people
  • Click reinvite at the top of the page


What if I upload the wrong file?

Don't worry if you upload the wrong file, there are two ways you can sort this - delete the file or upload a new version!
  • To delete the file, go the the All Items page and check the tick box of the relevant proof(s), then click Delete at the top of the page.

  • To upload a new version, go to the Proof Page, open the Tools menu and click on New Version. Then simply upload the desired file.


How to edit the name of a proof

To edit the name of a proof, simply go to the Proof Details page and edit the Name field.



How to change the owner of a proof

  • In the All Items page, select the tick box of the proof(s) on which you wish to change the owner.
  • Go to the More Actions drop down menu at the top of the page and choose Change Owner.
 
  • Then from the drop down menu that appears, simply select the name of the person you wish to be the new owner of the proof and click Submit.
  • Alternatively, you can go to the Proof Details page for the relevant proof, then scroll down the page to the Settings section and edit the Owner field.
 
 

How to change the role of a user

  • Go to Proof Details (from within the proof, or by clicking the arrow to the right of the proof in the All Items page).
  • Then scroll down to the People section, click the arrow to the right of the relevant person and choose to view their details.
  • Then simply edit the Role field.

 


How to change the profile of a user

  • Go to Account Settings, then the Usets Tab
  • Click the arrow to the right of the relevant person’s name and choose View Users Details
  • Scroll to the Permissions Profile field and click edit, then choose the preferred profile.
  


How to make a group of contacts

 If you regularly send proofs to the same selection of contacts, this function will save you having to type in multiple email addresses every time!
  • Go to the Groups page and click the Add Groups button at the top right of the page.
  • You will then be able to choose a group name and descriptions and also set the group to be a personal group if desired.
  • You can then add the email addresses of the relevant people, and click Save.
 

 
The next time you want to send a proof to this group of people, simply type the word group into the email field and the group will appear in the auto-complete field. If you’ve created multiple groups, all your groups will appear for you to choose from.

How to set up branding on your account

  • Go to Account Settings, then choose the Settings Tab and scroll down to the Branding section.
  • Here you can choose to brand ProofHQ, the proof and all emails. You can choose to show simply your account name or to upload your logo.
  
  • White Label Option

           With our Enterprise Plans we also have a White Label option which allows you to brand the log-in and log-out pages also. If this is something you’re interested in, please contact us at support@proofhq.com.

 

 


 How to set up a custom view of the All Items page

  • Go to the All Items page.
  • Click on the New View link next to the Views drop down menu.
 

    • In the Columns Tab: give the custom view a name; choose whether you'd like to include files, proofs or both; then choose the columns you wish to appear and click on Add Column.
    • In the Filters Tab: you can specify the field, operator and values.
    • In the Sorting Tab: you can choose the column by which you wish the results to be sorted and also the order (i.e. ascending/ descending).
    • In the Sharing Tab: you can choose other users within your account with which you wish to share the custom view.
    • Save the custom view.
     
     
    • If you ever want to delete this custom view, simply go to the custom view (by choosing it from the view drop down menu) then click the arrow to the right of the New View link (which will appear when a custom view is created) and choose Delete.
     

    How to filter comments

    • In the proof, open the Side Bar by clicking the arrow at the left hand side of the page.
    • At the top of the Side Bar click on Sort and Filter By and then choose the relevant option.
    • There is also a Show All option in the Side Bar which will allow you to see the text of comments as well as the user details, time, etc.
      
     

    How to enlarge the comments box

    Simply click and drag the bottom right corner of the comments box to whatever size you require.

     

     

    How to send a proof and/or the original file to someone outside your organisation

     You can send a proof to anybody! They don’t need to have a ProofHQ account.
    • When you’re viewing the proof simply click Tools and choose Forward
    • By selecting the relevant tick box, you can choose to share a link to the proof and/or the original file
      
     
     

    How to send a large file via ProofHQ

     If you want to send a file to somebody but it’s to big to send via email, you can send via ProofHQ’s File Share function!
    • Go to the New drop down menu and choose New File Share.
    • Then simply upload the relevant file.
       


    How to set a deadline

    When adding a new proof, you can set a deadline date within the Workflow section
     
    The Workflow settings are:
    • Select date, which lets you choose a date by which people need to review the proof
    • Select time, which lets you choose a time by which people need to review the proof
    To set a deadline:
    • Use the date picker to enter a date
    • Enter your time in the right hand field in th following format using the 24 hour clock:  hh:mm e.g. 22:15 for 10.15 pm 
       
     

    How to edit a deadline for a whole group

    • Go to Proof Details and scroll down to the People section.
    • Click the arrow to the right of Stage 1 and choose Edit Stage
    • Within the Edit stage section you will be able to change the deadline on the proof (as well as add people, delete people and notify participants - see Edit Stage for further details).
     
      

    How to edit a deadline for a specific person

    • Go to Proof Details and scroll down to the People section
    • Click the arrow to the right of the relevant person and choose to see their details
    • Then simply edit the deadline field to show the new date
