ProofHQ is a web application that lets you upload and share files, and provides collaborative review tools so that you can get feedback on those files.

Useful Terms

There are some simple terms that are useful to know:
  • "Online Proofing" is the process of uploading a file and sharing it with a team of people for feedback and approval.
  • "Proofs" are ProofHQ's unique web based viewer which display the files that you upload in a format that lets people mark-up and add comments. About proofs 
  • "Files" are the original files that you upload, and that we convert to Proofs.  You can upload files without converting to proofs, as ProofHQ gives you simple files sharing as well as online proofing.  We use the term "files" although ProofHQ also lets you capture live web pages as well as upload files. Sharing files
  • "Users" and "Power Users" are people who can upload files and manage proofs.  Profiles & Permissions
  • "Reviewers" are people who you send proofs to for review.  Roles
  • "Folders" are where you can organise and manage your proofs.  Folder Details
  • "Mark-ups" are the drawings that reviewers make on proofs.  They go with Comments.  Reviewing a proof
  • "Comments" are the written feedback that reviewers make on proofs.  Reviewing a proof
  • "Decisions" are how your reviewers indicate their final feedback on the proof.  Reviewing a proof
  • "Versions" are sets of proofs showing changes and revisions.  Versions

Basic Workflow

There are two basic workflows in ProofHQ:
  • Creating and sharing "Proofs"
  • Upload and sharing files

New Proofs

When you upload files for proofing, ProofHQ converts each file into a "proof" that is easily viewed in a browser. Even very large files e.g. 1 GB will be streamed quickly into the browser.

Upload Files

When you upload files for sharing ProofHQ stores the file and makes it available to people for download. Files can be converted to proofs, even if they weren't uploaded for proofing to start with.

Folders

You can organise your proofs and files in folders. Folders can be "nested" so you can have folders inside folders. This helps you organise your files in the way that most suits your workflow.

You can access folders from:
  • The sidebar on the ProofHQ
  • The folders tab in the proof

Sharing proofs and files

ProofHQ makes it easy for you to share proofs with reviewers. You can:
  • Share with named people using email
  • Publish to the web using a public URL or embed code
You can also share files using ProofHQ.  You can:
  • Share files with named people using email
  • Provide access to a folder or page where the file can be downloaded

Reviewing proofs

Proofs are reviewed inside the unique ProofHQ "Proof Viewer." There are two main functions in the proof viewer: 
  • Adding comments and mark-ups
  • Making a Decision

Comments and mark-ups

The comment and mark-up functions let your reviewers provide detailed visual feedback on your document.

When a comment is made it is immediately available to other team members.

Reviewers can reply to each others comments, creating discussion threads to discuss and decide issues.

Reviewers can attach files to comments and replies.

Decisions

When a reviewer has finished making comments they can be asked to make a Decision.  This indicates their overall acceptance or rejection of a proof.  Decisions are:
  • Changes required
  • Approved with changes
  • Approved
  • Not relevant

Versions

If a proof is not approved, a new version can be uploaded.

Two versions of a proof can view viewed side-by-side in "compare mode" for easy comparison.
