Upload a file

To upload a new file:

New file page

The New file page has the following sections:

NB: If a file is uploaded to a Folder, any people that the folder has been shared with will appear automatically in the Share section of the New file page.



Upload files

Click on the Add files button to upload a file. Repeat to add as many files as you like - the files will appear as individual files in your account, rather than one merged file. (NB: A new Merge files/proofs functions is due to be released shortly!)

In this section you can also choose to use the desktop uploader. Click the link to be taken to a web page where you can find out more and download the desktop uploader.


Share

In this section you can share the file with people. See Sharing a file from the New file page.

Message

In this section you can add a subject and message which will be shown in the email received by the recipient(s) of the file.

Tags and settings

In this section you can:

  • Change the owner of the file to someone other than yourself
  • Apply a tag to the file

File Details page


The file details page contains the following:

Action buttons

The action buttons are:

Convert to proof and Add people will not be shown on this page for Managers or Observers (see Profiles and permissions).

Convert to proof

Click the Convert to proof button if you want to convert the file into a proof. The New proof page will appear and you simply need to follow the steps for a new proof.

You can also convert a file from the All items page.

Anybody that was added to the file will automatically appear on the New proof page. You can then delete anybody you do not want to be added to the proof.

NB: If you have an Observer profile you will not see the Convert to proof button

Add people

Download original file

Click the Download original file button if you want to download the original file.

File Details

The file details section has the following information:
  • Name *
  • File name
  • Folder *
  • Created
  • Tags **
  • Downloads
  • Preview
* You can edit these fields
**  You can delete the tag attached to the file by clicking the cross next to the tag name. If you delete the tag a pop-up message will appear giving you the opportunity to undo your action.

Shared with

This section shows you who the file has been shared with. You can remind or remove people here by opening the actions menu by clicking on the arrow at the right.

If you choose to Remove a person, this will remove the individual you selected. (You will be asked to confirm before they are removed.)

If you choose to Remind a person, the Remind all page will appear where you will be able to 'bulk' remind if you wish. To 'bulk' remind simply:
  • Select the tick box for the relevant people
  • Add a subject and message if desired
  • Click Save
The people you've selected to remind will receive a notification email which replicates the original notification email they received when they were added to the file.

 

Activity

This section shows all the activity on the file, including the time, date and person who performed the action. For example:

  • File uploaded
  • New people added
  • People removed
  • File downloaded

Share a file


Delete a file

You can delete a file in the following ways:
To delete a file in the File Details page:
  • Go to the File Details page
  • Click Delete in the Header Menu
  • A confirmation screen will appear - click Continue to confirm you want to delete the file




In the All items page

To delete a file (or multiple files) in the All items page:
  • Select the tick box of the file(s) you want to delete
  • Click on Delete in the Header menu
  • A confirmation screen will appear - click Continue to confirm you want to delete the file(s)
Alternatively:
  • Click the arrow to the right of the relevant file to open the Actions menu
  • Choose Delete
  • A confirmation pop-up message will appear - click Continue to confirm you want to delete the file


In the Folder details page

To delete a file in the Folder Details page:
  • Click the arrow to the right of the relevant file to open the Actions menu
  • Choose Delete
  • A confirmation pop-up message will appear - click Continue to confirm you want to delete the file
