Email Notifications on Proofs

  • My default email notification setting, email notifications that you receive about activity on your proofs, or proofs that you have been invited to
  • Email notification settings for my reviewers, email notifications sent to reviewers about activity on proofs that you own
  • Notify me when my proofs are ready, telling you that a proof that you have uploaded has been processed
  • Format of emails sent to me, determining whether emails sent to you are in HTML format or plain text

Email me about activity on my proofs

This setting is for the proof activity email notifications that you receive on a) proofs that you own, and b) proofs that you are a reviewer on.

This setting will take priority over anything set by a person sending a proof to you.

To set the frequency of the Proof Activity emails you receive:

  1. Click Personal Settings on the Sidebar
  2. Click the Proofing Defaults tab
  3. Under Default email notification settings, edit the My default email notification setting field
  4. Click Save

Email my reviewers about activity on my proofs

This setting is for the emails sent to reviewers on proofs that you own.

This setting will not override anything set by a person you send a proof to in their Personal Settings.

To set the frequency of the Proof Activity emails sent to your reviewers:

  1. Click Personal Settings on the Sidebar
  2. Click the Proofing Defaults tab
  3. Under Default email notification settings, edit the Email notification setting for reviewers field
  4. Click Save

Notify me when my proofs are ready

This email is sent to the person who has created a proof.

If a person has created a proof AND made another person the owner, then only the owner will get the Proof Made email.

To enable or disable your Proof Made email:

  1. Click Personal Settings on the Sidebar
  2. Click the Proofing Defaults tab
  3. Under Default email notification settings, enable or disable the Notify me when my proofs are ready field
  4. Click Save

Format of emails you receive

You can choose to have emails sent to you by the system delivered in HTML format or plain text.
 
To change the format of the notification emails you receive:  
  1. Click Personal Settings on the Sidebar
  2. Click the Proofing Defaults tab
  3. Under Default email notification settings, edit the Format of emails sent to me field
  4. Select either HTML styled emails or Plain text
  5. Click Save 

Activity email options

ProofHQ will send you and your reviewers a Proof Activity email notification when a new comment, new reply or new decision is made on a proof. You can decide how frequently you want you and your reviewers to receive these notifications:

The Proof Activity email options are:

  • All Activity. Email is sent every time there has been activity on the proof (e.g. a new comment, reply or decision has been made).
  • Replies to my comments. Email is sent only if someone adds a reply to a comment that made by a reviewer
  • Decisions. Email is sent only when someone makes a decision.
  • Hourly summary. Email is sent every hour with all comments, replies and decisions listed ONLY IF there has been activity in the last hour
  • Daily summary. Email is sent every day with all comments, replies and decisions listed ONLY IF there has been activity in the last day
  • Final Decision. Email is sent to everyone on the proof when the final decision has been made, i.e, when the last person to make their decision has done so.
  • Disabled. No email notifications are sent.
The system default is Daily summary (also seen as Not Set). If you or your reviewers do not make any other changes, all your proofs will have this setting. 

Late proof emails

ProofHQ will automatically send an email notification when a proof reaches a deadline with a Status of Pending. The people who will be notified are:

  • The owner
  • Any person with a decision that is still pending

Email sender

All emails to reviewers will be shown as having been sent by the person who performed the action.
