If your organisation works with freelancers, you can add them to your ProofHQ process as well. There are a couple of ways to do this depending on whether you want the freelancer to be part of your organisation in ProofHQ or not.
Option A - add Freelancers to your ProofHQ account
You can simply add your freelancers to your account in ProofHQ. You can add them just like you would your other colleagues. They can be part of all of the workflows described in this section. However, they will have greater visibility into your account and can also see client details, which you may not want.

Option B - give Freelancers a free ProofHQ Personal Account
If you don’t want clients and freelancers to see each other in ProofHQ you can set up your freelancers with a free ProofHQ account. This means that they can send files to you, which you can turn into Proofs. It also means that if the situation does arise, you can add them as Authors to your proofs.
- Freelancer logs into their account.
- They use the Upload File function to share a file with you.
- You receive an email telling you that a file has been shared with you.
- You login to your account and find the file that has been shared with you.
- You use the Convert to Proof button to convert the file to a proof.
- You then manage the proof workflow with your clients in the normal way.
- At the end of the proof process you can notify your freelancer by sharing a link to a proof with them. This means that they are not part of the review team and your clients don't see their name listed on the proof.
To give your freelancer a free account:
- Add your freelance colleague to to your contacts. See Adding New Contacts
- Create a Personal Account for your freelance contact. See Personal Accounts for Contacts
Option C - use the Dropbox (Enterprise plans only)
Also to be used if you don’t want clients and freelancers to see each other in ProofHQ. You can give your freelancers access to your Dropbox.
- Freelancer goes to your public Dropbox page
- They use the Dropbox to create a new proof in your account.
- You receive an email telling you that a new proof is in your Dropbox.
- You login to your account and find the proof in your Dropbox.
- You unlock the proof, add reviewers, set the proof settings and manage the proof workflow with your clients in the normal way.
- At the end of the proof process you can notify your freelancer by Forwarding them a link to a proof. This means that they are not part of the review team and your clients don't see their name listed on the proof.
